  1. Who does this Privacy Collection Statement apply to?

This Privacy Collection Statement applies to anyone who is, or has applied to become, an employee or contractor and anyone who is, or has consented to become a referee of the prospective employee of PetSure (Australia) Pty Ltd (‘PetSure’).

  1. For what purposes do we collect personal information?

We consider your personal information is necessary for the pursuit of the legitimate interests of PetSure to consider your application for employment. We will collect your personal information for the primary purpose of assessing your application and if successful, administering your employment. We will use your personal information for, but not limited to, the following purposes:

  • To communicate with you;
  • Organise your application information;
  • Coordinate your references;
  • Authenticate your identity; and
  • Respond to your questions, queries or requests.

  1. What if we didn’t collect the personal information?

If you choose to not provide your personal data, it may not be possible for PetSure to perform our function and fulfil some or all of your application for employment.

  1. What are the types of bodies and persons to whom we usually disclose your personal information?

Your personal information may be provided to:

  • PetSure’s Human Resources Team.
  • Prospective Manager.
  • Third party service providers which PetSure uses to perform services or conduct reviews on its behalf (such as recruitment and reference checking).

  1. Disclosure overseas

Generally speaking, your information will be handled in Australia, but we also have an operation in South Africa that supports Australia and will use this platform for information they have gathered in South Africa. In some circumstances we will engage a third party to carry out operations on our behalf. For example, we sometimes use third parties to perform reference checking and background screening services for us, such as Xref (www.xref.com) or Fit2Work (www.fit2work.com.au). Xref may disclose your personal information to an entity overseas who they engage as a service provider (for example, data sub-processors). The details and locations of service providers engaged by Xref can be found at https://xref.com/en/sub-processors/.

  1. You can access and correct your personal information

You may generally access the information we hold about you and request corrections. This right is subject to the exceptions detailed in the Australian Privacy Principles. For example, we may refuse access where the:

  • information may have an unreasonable impact on the privacy of others;
  • request is frivolous or vexatious;
  • information relates to existing or anticipated legal proceedings and would not be accessible by the process of discovery in those proceedings;
  • information would reveal our intentions in relation to negotiations in such a way as to prejudice those negotiations.

If we refuse access or to give access in the manner requested by you, we will let you know why in writing.

Where providing access would reveal evaluative information in connection with a commercially sensitive decision-making process, we will provide an explanation for the decision rather than direct access to the information.

In most cases, you may access your Personal Information at no cost to you by contacting our Privacy Officer by sending an email to privacy@petsure.com.au. For access to complex information or more detailed requests for access to your Personal Information, for example, access to information that is archived, we may require you to place your request in writing and charge you a fee for our reasonable costs of retrieving and supplying the information to you.

In all cases you will be asked to verify who you are before your Personal Information is provided.

All requests for Personal Information will be handled in a reasonable period of time.
